How to organise a Komodo boat trip for 20 or more people

Updated 12 October 2026

For 20 to 25 guests, settle the head count first: it sets the band, and the quote fixes it before the deposit. Names and passport details go with the balance, 30 days before departure. The boat has 21 fixed berths and a licence for 25. A 3D2N charter at 25 guests costs IDR 3,840,000 (≈ USD 236) each.

Fix the head count before anything else

Write two numbers at the top of your notes: the people who have said yes and the people who have said maybe. The charter price follows the count in four bands (1 to 5, 6 to 10, 11 to 15 and 16 to 20 guests), then one printed amount for each guest above 20.

Princess Nabila has 21 fixed berths in 7 cabins and a licence for 25. A group of 20 or 21 sleeps in made beds. A group of 25 needs four extra beds, and because Flores stops at 3 guests, those beds sit in four of the other six cabins. The cabin guide shows where each bed can go.

Watch the band edges on a 3D2N charter. Fifteen guests pay IDR 5,070,000 (≈ USD 311) each. Sixteen pay IDR 5,220,000 (≈ USD 320), because the 16th guest moves the whole boat into the next band, and seventeen pay IDR 4,910,000 (≈ USD 301). A list that stands at 15 with one maybe should lose the maybe or find a second person before you quote the group a figure. The same edge sits between 10 and 11.

Give the age of any child with the count. Children under 3 travel free.

The dates that are ours, and the steps that are yours

Only a handful of dates belong to us. Count them back from boarding day and paste them into your notes.

  • Before the deposit. Your quote, with the head count and the kinds of cabin written in.
  • The deposit. 50% holds the date. A cancellation 60 days or more before sailing returns 50%, one between 59 and 30 days returns 25%, and inside 30 days nothing is returned.
  • 30 days before departure. The balance falls due, and the list of names with passport or ID details goes with it. A date change is free up to this point, costs IDR 500,000 between 29 and 14 days out, and inside 14 days counts as a cancellation.
  • 7 days before sailing. The last day we accept names and ID details.

The rest is advice for you. Start from two candidate dates and a head-count range, say 18 to 22, and ask us for a quote at both ends. Tell the group the cost per head, with the lines outside the fare, and set a yes-or-no date of your own. Put every payment date you give the group about 10 days ahead of ours, so a late payer never sits on your card. The table below reads the payment steps in order.

What the boat takes and what it does not

A full boat is a full boat, and a few spaces are shared by everyone at once. Plan around these.

  • Eating. The restaurant has no dining tables. A buffet island stands in the middle, with counters along the walls and about 20 chairs, so 25 guests eat in two sittings or take dinner up on the sun deck.
  • Shade. The turf deck is open to the sky. Covered seats are in the restaurant and on the small front deck of the upper level.
  • Landings. The tender is one white fibreglass boat with an outboard, and its seat count is not printed. A full group goes ashore in more than one run, so allow extra time at each landing.
  • Treks. A ranger goes with every walk, at a fee set by the park (see the park-fees page).
  • Water toys. The footage shows one inflatable two-seat kayak and one stand-up paddle board, and no count is printed. Make a rota.
  • Connection. Starlink Wi-Fi is fitted. Treat it as a way to send messages and photos.
  • Luggage. One soft bag per person comes to the pickup, with a passport or ID. A Toyota HiAce seats up to 12, so 25 guests and their bags need three vehicles or a coach.

Three sheets to keep: passports, rooming, diet

Three sheets carry a group of 20 or more onto the boat. Keep each as one file that you edit rather than a trail of messages.

The passport list

One row per guest: name exactly as printed in the passport, nationality, passport number. The park holds each visitor under a name and a passport or ID number, and the electronic boarding pass repeats that name. A misspelt name means a ticket that does not match the passport. The list goes to us with the balance and no later than 7 days before sailing.

The rooming list

One row per cabin: number, island name, the guests, and the bed each takes (double, single or extra). The cabin guide shows how to build it. The names go in when the balance is paid.

The diet notes

One line per person: what they do not eat and why. Send the diet needs together with the head count. We make no halal, vegan or allergy promise, and a guest with a serious allergy should weigh that before the group pays the deposit.

Splitting the money inside the group

One invoice goes to the organiser, who carries the risk until the group repays, so collect early. If you split the bill by cabin inside your group, send each cabin its own line from your rooming list and ask for payment on one set day.

Bank transfer in rupiah works, and so do QRIS, Alipay, WeChat Pay (through our payment partner), Wise, Revolut, PayPal and a card link. PayPal carries a 7.2% fee. Prices include 11% VAT.

The fare is only part of what each guest owes. Park tickets, a guide and photo or video documentation come on top of a charter, and the budget guide shows how to add them to one figure per head.

Six checks before the deposit

Run these before you pay. If one fails, fix it first.

  • The head count and the kinds of cabin are written in your quote, with the band they fall in.
  • Your sketch of who sleeps where keeps anyone who must avoid stairs on the main deck.
  • The passport sheet exists, and every name on it matches its passport letter for letter.
  • Diet notes are collected, and anyone with a serious allergy has heard that we make no promise.
  • Park tickets, guide, documentation and tips are priced per head in your own sheet.
  • Vehicles are counted: 25 guests need three Toyota HiAce, or a coach quoted separately.

All six done? Send your head count and two dates on WhatsApp.

FAQ

How early should a group of 20 start planning a Komodo boat trip?

As soon as the group can agree two candidate dates and a head-count range. The deposit of 50% holds the date, and a cancellation made 60 days or more before sailing returns 50%. The 2027 calendar is open and already holds bookings, so a group that needs one exact week should ask first.

What happens if our head count changes after we pay the deposit?

The price follows the new count. Across a band edge the whole-boat price moves, so 15 guests pay IDR 5,070,000 (≈ USD 311) each on 3D2N and 16 guests pay IDR 5,220,000 (≈ USD 320). Inside a band the boat price holds and each share changes. Keep the maybes off the list until they say yes.

Can 25 people eat at the same time on board?

Not in the restaurant. It has about 20 chairs at counters and no dining tables, so 25 guests eat in two sittings or take dinner up to the sun deck, where the turf is open to the sky and the bean bags are. Plan the evening meal for whichever you choose.

Do I have to pay for the whole group myself?

The invoice goes to one organiser, so you pay us and collect from your group, cabin by cabin from your rooming list if that is simplest. We take 50% as the deposit and the rest 30 days before departure, so set your own collection dates earlier.

When do you need the passport list?

With the balance, 30 days before departure, and no later than 7 days before sailing. Names must match the passports letter for letter, because the electronic boarding pass carries each name and must match the passenger list. Send a correction the moment you find one.
